Account Master Maintenance

This is accessed through the pull-down menu at the top of the main screen.

The purpose of this screen is to establish accounts to which detail entries may be assigned. Please read help topic, "How to Use Accounts" for additional information on accounts.

Grid
The grid on the left will list the accounts which have been set up. You may sort the grid by account code or name by clicking on the corresponding column heading.

Adding a New Account
Click the button to begin the new account add process. All editing of the account fields is performed in the tabbed notebook on the right side of the screen. 

Each account must be given a unique account code. This code is what you will see when you assign detail entries to accounts. The code may be up to 20 characters and you should make it meaningful. Initially, it will be set up as "New Code." Change it as desired and press the save button at the top left of the screen.

Editing Account Data
Editing account data is performed on the tabbed notebook on the right. Please be sure to click the save button at the top left of the screen in order to save any changes.

Field Definitions
Some of the fields are visually protected and may not be directly edited. These fields include Account Number, Card Code, PIN, and Password. These fields may be changed by clicking on the field, which will open an edit box for editing the data. These fields are stored in the file in an encrypted format in order to protect your information.

General Page
Account Number is 20 characters and should represent the credit card number, bank account number, etc.

Card Code is the special code on credit cards, usually 3 or 4 digits in length. This field will allow up to 16 characters.

PIN is 25 characters and should represent your personal identification number.

Web Address is 100 characters and represents the Internet address of the account's online maintenance screen. You do not need to include the "http://". However, if it is a secured address, you will need to include the "https://".

Sign-on is 30 characters and represents your sign-on (logon name) to the Web Address. The button beside the name will copy the sign-on to the Windows clipboard, allowing you to easily paste it into the website's sign-on field.

Password is 20 characters and represents your password to the Web Address. The button beside the password will copy the password to the Windows clipboard, allowing you to easily paste it into the website's password field.

Online Special is 30 characters and is used to store any additional information needed for signing on th the Web Address.

Balance Forward is the last reconciled balance for the account. For credit cards, this would be the beginning balance before reconciliation of the next statement. For a bank account, it would be the balance as of the last statement.

Credit Limit is the "not to exceed" balance for a credit card account.

Expiration is the month and year that a credit card account is to expire.

Contact Page
This page contains the contact information for the account.

Notes Page
This contains any information you need to keep for the account. A note may be as long as you need it to be.

Deleting an Account
To delete an account, select it in the grid and the click the button.

The account will be deleted and all references in the detail records will be deleted as well. (Note: The detail entries themselves will not be deleted; only the reference to the account will be erased.

Changing the Account Code
When you change the account code and click save , the account will be renumbered and the account information will be changed on all corresponding detail records as well.
